From packaging sample to production: what should the buyer approve?

Is approving the appearance of a packaging sample enough to start production?

Define the approved version, inspection criteria and evidence needed to turn a promising sample into a clear production brief.

The starting point

Appearance approval addresses only part of the decision. Identify the product and package revision, confirm fit and packing steps, agree acceptance criteria and resolve how transport protection will be evaluated. ISTA advises using representative products and packages and selecting tests for the intended distribution environment. A report for a different product or construction does not establish the result for your order. Request the supporting records before authorizing the agreed production version.

Freeze the reference version

Assign a revision to the drawing, material specification, artwork and sample photographs. Include the product version, accessories and units packed together. List open items separately, such as a colour awaiting approval or an unconfirmed carton quantity. Ask both sides to refer to that same revision in the order so a later email or photograph cannot silently replace it.

Agree what acceptance means

Specify the dimensions and fit to inspect, the appearance issues that are unacceptable and the product functions to check after evaluation. Separate a visual approval from any transport test outcome. Decide who reviews deviations and what evidence is needed for release. If the planned route is still changing, record that dependency instead of treating an early sample as fully approved.

Control changes before release

Compare the production brief with the approved sample before the order proceeds. Ask for proposed substitutions or construction changes in writing and assess whether they affect fit, assembly or protection. Define a practical record for the first production inspection. When a change affects an assumption behind an evaluation, ask the responsible reviewer whether additional checks are needed before shipment.

Evidence to request for your project

One approved specification pack containing the product identity, drawing, materials, artwork, sample photographs and packing instructions, with a date and revision on each record.
An evaluation plan or report that identifies the actual sample and agreed criteria. If laboratory testing is claimed, request the full report and verify its scope with the laboratory.
A production release record naming the buyer's approver, the accepted revision, unresolved conditions and any approved changes, followed by the agreed inspection and shipment records when available.
